10 ChatGPT Prompts for Bookkeeping (Copy & Paste)

If you do any bookkeeping work, these 10 prompts will change how you spend your time. Each one is tested in real accounting workflows. Copy the prompt, paste it into ChatGPT or Claude, replace the bracketed parts with your data, and hit enter.

No technical skills required. If you can send an email, you can use these.

1. Bulk Transaction Categorization

This is the single most time-saving prompt for bookkeepers. Instead of manually sorting transactions one by one, paste an entire list and let AI do the first pass.

The prompt:

"You are an experienced senior bookkeeper. I will paste a list of bank transactions. For each transaction, provide: 1) Suggested account category, 2) Confidence level (High/Medium/Low), 3) Brief reasoning. Format as a table. Flag any transactions that need human review. Categories to use: [LIST YOUR CATEGORIES]. Transactions: [PASTE HERE]"

Why it works: The confidence level is key. High-confidence items you can batch-approve. Low-confidence items you review manually. This alone cuts categorization time by 80%.

2. Invoice Data Extraction

When you receive invoices as text or PDFs, extracting the key data is tedious. This prompt pulls it all into a clean table.

The prompt:

"Extract the following from each invoice description below: Vendor name, Invoice number, Date, Amount, Tax amount, Category suggestion. Return as a table. Flag any entries where data is unclear. Invoice descriptions: [PASTE HERE]"

3. Bank Reconciliation Assistant

The prompt:

9. Multi-Currency Transaction Converter

For clients with international transactions, this handles conversion and categorization together.

The prompt:

The prompt:

The Verification Rule

One critical rule for all of these: always review AI output before using it. AI is a first-pass tool, not a final answer. Check confidence levels. Verify calculations. Confirm categories make sense for your specific client.
